Taking an order
Starting an order
Select New order on Home or Orders.
- Customer: search for the customer by name or phone. If they're new, add them here. Gambrel Book warns when a customer looks like one you already have; if it's a different person, select Add anyway.
- Drop-off date: today, unless you change it.
- Site: at a business with several sites, the site the animal was dropped off at.
- Animals: select Add animal for each animal, then choose its species. Add the tag number if it has one, and the intake weight if you weighed it.
- Lines: under each animal, add the services (such as skinning and processing) and products (such as steaks or sausage) the customer wants, with their options. For a product made from several animals, such as a batch of sausage, use Pool with to share one line between animals.
- Order charges: charges for the whole order rather than one animal, such as a late-pickup storage fee.
- Deposit: the amount the customer pays at drop-off. It's recorded as the first payment when you create the order.
The Totals panel shows the estimated total as you go. Weights and prices are estimates until the order is ready for pickup.
Saving
- Create order saves the order, records the deposit, moves it to Staged and emails the customer a confirmation if you have their email.
- Save draft keeps an order you haven't finished. A draft doesn't record its deposit or email the customer. Discard draft deletes it.
- On a created order, Save changes saves what you've changed.
The order page
Open an order from Orders or the customer's page. From there you can:
- change its status with the status pill (see Order statuses);
- enter yields (see Yields and pounds);
- record payments (see Payments);
- print the intake form, cut sheet, labels and invoice from Print (see Printing and Package and box labels);
- see the order's history: every change, who made it and when.
The Slot / locker field saves on its own when you change it, so you can record where an order is stored at any point until it's picked up.
Prices on saved orders
An order keeps the prices it was saved with. Changing a price in the catalog changes new orders and new lines, not the lines an order already has. Hiding an item in the catalog doesn't take it off orders that already use it; it's shown as "(no longer offered)" and can't be added again. See Catalog.
